Executive Assistant

This is a remote, full-time Executive Assistant opportunity supporting a CEO in a mission-driven organization. It is a 12-month contract role paying approximately $48.00 to $62.50 per hour, with the possibility of converting to a permanent role. You would be working on Eastern Time, managing the CEO's calendar, meetings, travel, expenses, and stakeholder communication, with occasional support for two other senior leaders.

Description

You will provide direct executive support to the CEO, managing calendar, leadership meeting rhythm, travel, expenses, vendor coordination, stakeholder communication, and administrative systems in a remote, mission-driven environment. The role also includes occasional support to two other senior leaders, day-to-day operational partnership, offsite logistics, team event planning, and continuous improvement of systems through AI-enabled workflows. The hiring process includes an optional 10-15 minute video response challenge with realistic scenarios; completing it moves your application to the top of the review queue. Responsibilities:

1. Manage the CEO's calendar end-to-end, including scheduling, prioritization, conflict resolution, and meeting preparation.

2. Build and maintain the annual rhythm of business, including leadership meetings, 1:1s, quarterly planning, funder reviews, and advisory meetings.

3. Prepare agendas, background materials, notes, and action logs, and track follow-ups and action items from prior discussions.

4. Provide occasional support to two other senior leaders as needed.

5. Partner with the CEO on day-to-day organizational operations.

6. Coordinate logistics for staff, leadership, and advisory offsites, including booking meeting rooms, catering, travel, and conference logistics.

7. Manage the CEO's expense reimbursement process and process invoices, vendor payments, and reimbursements with Finance.

8. Maintain organized records for expenses, invoices, contracts, and administrative documents.

9. Help plan team events and internal celebrations.

10. Serve as a point of contact for internal and external stakeholders interacting with the CEO, handling sensitive and confidential information with discretion.

11. Maintain contact lists, distribution groups, and a shared knowledge base, and post updates to internal digital channels and assets.

12. Identify ways to improve systems and reduce manual work through AI-enabled workflows.


Requirements:

1. 5 or more years supporting a C-level executive.

2. Experience in a fast-moving startup or mission-driven environment is preferred.

3. Strong organization skills and attention to detail.

4. Ability to manage competing priorities without dropping details.

5. Strong judgment and discretion with confidential information.

6. Clear, professional written and verbal communication.

7. Comfort working in a fully remote, distributed-team environment.

8. Ability to align schedule to Eastern Time.

9. Interest in using AI tools to reduce manual work and improve workflows.

10. Calm, grounded work style with ability to bring order without unnecessary bureaucracy.
