Description
The Data Entry Specialist ensures that customer accounts, product catalogues, inventory records, and pricing data are accurately entered and maintained within the organisation's platform. Working closely with Onboarding Specialists and Account Managers, you keep data clean and ready from day one, enabling fast go-lives, reliable reporting, and a smooth experience for every retail customer. The role sits within the Client Onboarding job family and reports to the Lead, Onboarding.

Responsibilities:
1. Input, update, and maintain merchant data including product catalogues, SKUs, pricing, inventory levels, and customer profiles.
2. Process bulk data imports from spreadsheets and CSV files, validating format and completeness before upload.
3. Ensure all records adhere to the company's data standards and naming conventions.
4. Prepare merchant accounts ahead of onboarding by populating required product, inventory, and configuration data within agreed timelines.
5. Review merchant-submitted data templates for errors or missing fields and follow up to resolve gaps before entry.
6. Support setup of catalogue structures, tax configurations, and payment settings as directed by the Onboarding team.
7. Conduct checks to identify and correct errors, duplicates, or outdated records.
8. Cross-reference data across spreadsheets, CRM, and POS backend to ensure consistency.
9. Flag and document data anomalies, routing them to the appropriate team for resolution.
10. Maintain accurate records of data entry activities, import logs, and correction history in the CRM.
11. Document common errors and resolutions to build a shared knowledge base and reduce repeat mistakes.
12. Identify recurring workflow bottlenecks and recommend improvements to the Operations lead.
13. Fulfil ad-hoc data requests from Onboarding Specialists, Account Managers, and Support teams within SLA windows.
14. Coordinate with internal teams to gather missing customer data without delaying onboarding timelines.
Requirements:
1. One to three years of experience in data entry, data operations, or a similar role, preferably in SaaS, retail tech, or fintech.
2. Exceptional attention to detail with a track record of high accuracy across large data volumes.
3. Proficiency in Excel or Google Sheets, including data cleaning, VLOOKUP or XLOOKUP, and basic formulas.
4. Familiarity with CRM platforms or POS and back-office SaaS tools.
5. Strong organisational skills with the ability to manage multiple projects simultaneously.
6. Experience with bulk CSV imports, data migration, or catalogue management in a SaaS context is preferred.
7. Exposure to retail operations, inventory systems, or point-of-sale platforms is preferred.
8. Experience supporting an onboarding, implementation, or customer success team is preferred.
9. You should be obsessively detail-oriented and take genuine pride in clean, accurate data.
10. You should be process-driven but proactive, following workflows and flagging problems before they escalate.
