Tassel Planner is hiring an Operations Coordinator to manage order fulfilment, product assembly, inventory accuracy and stockist coordination at its Lekki Phase 1 store. Monday to Friday, 9:00am to 6:00pm. Peak season and event weekends may require a Saturday with a weekday off in lieu. Occasional remote work may be permitted at the COO's discretion. Additional hours may be required during peak season and pop-up events.

Description
Tassel Planner is seeking an Operations Coordinator to own order fulfilment, product assembly, inventory accuracy and stockist coordination. The role has two halves. Fulfilment involves getting every order out accurately, beautifully packed and on time. Production involves hand-assembling journals, bookmarks, inserts and personalised items to brand standard.
Tassel Planner's products are premium and customers notice everything, so this role is where that standard is either upheld or lost. This is hands-on craft work and the successful candidate will spend several hours each week cutting, assembling and finishing products by hand to a precise standard.
The role comes with a set spending limit for packaging and supplies, and clear approval limits for stockist restocks, so the holder can keep things moving without checking in on every small decision. Anything above those limits goes to the COO, with exact figures agreed when the candidate joins.

Responsibilities:
1. Personalise products according to confirmed order details.
2. Pack orders neatly, accurately and to brand standard.
3. Quality-check every single order before dispatch.
4. Manage fulfilment timelines and ensure orders go out on time.
5. Ensure the correct order reaches the correct customer every time.
6. Hand-assemble journals and inserts to a weekly unit target.
7. Cut, weed and apply vinyl for personalisation.
8. Produce bookmarks and finishing details to supplied templates.
9. Maintain consistent quality across every unit.
10. Track production output and flag early when targets are at risk.
11. Quality-check and supervise contract makers during busy periods.
12. Complete a monthly physical stock count across all locations, namely the store, Blue Haven and stockists, and reconcile against Shopify and Zappie.
13. Investigate and report on any variances found.
14. Maintain accurate records of packaging, vinyls, inserts, cards, stickers and consumables.
15. Monitor stock levels and flag replenishment needs before they become urgent.
16. Coordinate restocking of operational supplies once approved.
17. Identify when production materials, workshop supplies, packaging or consumables need to be reordered before they run short.
18. Research options, compare suppliers and pricing, and prepare orders for approval.
19. Build and submit online orders on Amazon, Temu and similar platforms for COO approval and payment.
20. Purchase directly within the agreed spend limit for packaging, vinyl and consumables.
21. Source and purchase workshop supplies once a workshop is confirmed.
22. Track every order through to delivery and chase where needed.
23. Check all deliveries against the original order and report shortages, damage or substitutions immediately.
24. Log received goods into inventory.
25. Maintain records of all stockists and the inventory allocated to each.
26. Collect sales and stock reports from every stockist on a set schedule.
27. Reconcile stockist-held stock against the company's own records.
28. Monitor how well products are selling and flag restocking needs.
29. Prepare and dispatch approved restocks.
30. Escalate delays, discrepancies or concerns to the COO.
31. Coordinate package pickups and liaise with logistics partners.
32. Keep the fulfilment area and workspace organised and functional.
33. Support preparation for launches, pop-ups and events.
34. Alert the Retail team immediately of any delivery issue so the customer can be managed.
35. Update stock levels and product availability on Shopify and Zappie.
36. Flag system errors or issues.
37. Build simple checklists for the processes run day to day from month three.
38. Suggest improvements to fulfilment and inventory workflows.
39. Support the COO with other business-related tasks as required.
40. Perform any other reasonable duties consistent with the role.
